In a multi-office company, jobs are automatically tagged to the right location so the whole team isn't picking through jobs that aren't theirs.

QR crew time clock

Post a QR code at each job site or office; workers scan it with any phone camera and clock in or out in seconds — no app install, no company login required on shared devices. A kiosk mode also supports a short numeric PIN per employee for a shared tablet in a van or trailer. Every clock-in and clock-out is tied to the specific job it happened on, so hours roll straight into both payroll and job-cost reporting automatically — no manual timesheets to re-key.

Payroll & overtime

SiteHub totals hours per employee per pay period straight from clock data, applies daily and weekly overtime thresholds, and supports per-employee rate overrides for leads or specialty trades. Estimates & invoicing

Build line-item estimates with your own logo and company details, send them for client approval, and convert an accepted estimate into an invoice with one click — no retyping the scope of work. Invoices track sent/paid/overdue status, and every dollar rolls into the job's own cost report so you can see margin on that job specifically, not just the company as a whole.

Materials & inventory

Keep a stock list per office, log materials as they're used on a specific job, and see the running material cost tied to that job automatically. When stock is running low it's visible immediately instead of discovered at the job site. Photo documentation & closeout reports

Roles & permissions

Every employee gets exactly the access their job needs. Crew members see their own jobs and time clock. Supervisors (Operations) manage schedules, employees and vehicles for day-to-day running. Inventory managers control materials and stock. A Project Manager role sees nearly everything an admin sees — jobs, payroll, invoicing, HR, vehicles — with the balance sheet, activity log and website leads held back for the owner's eyes only. Only the main admin can grant or change anyone's role, and admin accounts have final say over every setting in the company.

Built-in security

Two-step verification on admin accounts, automatic sign-out after a configurable period of inactivity, and a full activity log recording who changed what and when — so sensitive job, payroll and client data stays protected. Every employee can change their own sign-in password at any time from their account page, and the main admin can reset anyone's password directly or send them a secure reset link if they're ever locked out.

How long does setup actually take?

Most companies are running on SiteHub within a few days, not weeks. We load in your company details, offices, employees and any jobs you're currently tracking, print your crew's time-clock QR codes, and you're ready to use it on the next job. There's no big "implementation project" - if you can run a job the way you run it today, you can run it in SiteHub.

Do my workers need to download an app or learn new software?

No app download for crew members. Time clock is a QR code scan from any phone's camera - it opens straight to a clock-in screen. Photo uploads work the same way, straight from the phone's browser. The learning curve is basically "point your camera at the sign."

What happens to our data if we ever stop using SiteHub?

Your data is yours. We can export your jobs, invoices, employee records and job photos at any time, in standard formats (CSV/PDF) you can hand to another system or keep for your own records. You're never locked in.

Can it handle more than one office or region?

Yes. Add a location (office/branch) and SiteHub tags jobs, staff and inventory by location automatically, with a filter to view one office or everything at once. Can I track my vehicles with GPS, not just assign them?
